Call-off coverage

What does Syntrah actually do?

Syntrah keeps every shift covered. When someone calls off, it offers the open seat to qualified, available staff in the order you set, tracks every reply, and escalates to a scheduler if no one takes it - with your live boards, credentials, timecards and requests in the same place.

What happens when a CNA calls off?

The call-off lands in Syntrah the moment it’s sent. The open seat is offered to staff who hold the right role and credentials, have had enough rest, and have room in their week - and the first to accept gets it, with every message and reply logged.

What if nobody accepts the shift?

The offer widens on the order you set: part-time and as-needed staff with room in their week first, then everyone eligible at your facility, then your other facilities. If it’s still open, it’s marked uncovered and escalated to a scheduler.

Does Syntrah cover call-offs across our facilities?

Yes, in the order you set. A call-off goes first to part-time and as-needed staff with room left this week, then to everyone eligible at the facility, then to your other facilities, in the order you set. If nobody accepts, the shift is declared uncovered and escalated to a scheduler.

Can a caregiver be offered a shift they aren’t cleared to work?

No. The same checks run on every path to a seat - an offer, a swap, or a scheduler assigning someone by hand - including the role, an active license, sign-off for the unit, minimum rest between shifts and the exclusion lists.

The console

How is this different from traditional scheduling software?

Traditional tools record the schedule. Syntrah actively coordinates it - spotting the gap, asking the right people in the right order, and keeping staff and leadership in sync automatically.

How does the “everything in sync” system work?

Scheduling, call-offs, credentials, timecards and requests share one record, so a change in one place shows up everywhere it matters - without re-entry.

Does it show our staffing levels?

Syntrah shows licensed-nurse hours per resident day against your facility’s target: licensed-nurse hours with Director of Nursing hours excluded, over total resident-days for the window. It is a scheduling view, not a compliance determination.

Does Syntrah run payroll?

No. Timecards compare what was scheduled with what was clocked and show what still needs fixing. Pay stays with your payroll system.

Does Syntrah replace our current system?

Syntrah runs your scheduling, call-offs and credential checks, and works alongside the systems you already have - your payroll stays your official timecard.

Can we customize how the system works?

Yes. The order offers go out across your facilities, punch-location policies, and approval rules can all be set to match how your buildings run.

The mobile app

Can staff manage the facility from their phone?

Yes. The same mobile app your caregivers use has a Manage mode for charge nurses, schedulers and administrators: the day’s coverage, what needs attention, and the call-offs still open, wherever they are.

How do caregivers get the app?

By invitation. Your facility sends each caregiver an email to set up their sign-in on the Syntrah app.

Does Syntrah calculate a caregiver’s pay?

No. Clocking in and out in the app is for scheduling, and it does not calculate pay. Pay is handled by your facility’s own payroll.

Can a caregiver undo a call-off?

Not in the app. The call-off sheet says so before they slide: their scheduler is told at once and Syntrah starts looking for cover. If plans change, they talk to their scheduler.

What happens when a caregiver picks up a shift at another facility?

The app says so before they commit. The offer carries an Another facility badge and names the building, and the confirm sheet warns them again before they slide. Once they slide, it goes on their schedule straight away, like any other shift.

Does asking for time off take a caregiver off their shifts?

Not until it is approved. The scheduler reviews the request, and the shifts stay theirs until then.

Resident transportation

Does Syntrah book the ride with an outside transport company?

No. Nothing is sent to a transport company. Your department arranges the ride as it does today, and records in Syntrah who is driving and when the driver confirmed.

Who can request a ride?

Caregivers can request one from the app for residents at a facility they’re working. Charge nurses, directors of nursing and administrators can request rides too.

How does the person who asked know where it stands?

In Requests in the app. A ride reads Awaiting the department until the department picks it up, then Being arranged, then Completed or Cancelled.

Does it bill trips or track mileage?

No. Resident transportation arranges and records your residents’ rides. There is no billing, cost or mileage in it.

Getting started and your data

Who is Syntrah designed for?

Skilled nursing facilities, assisted living and memory care communities, and the operators who run more than one building - administrators, nurse leaders, and staffing coordinators alike.

How do we get started?

Start with a workbook. Fill in Syntrah’s onboarding template with your staff, caregivers and residents and upload it; every row is checked first, and only the rows that are ready are imported. Then build and publish each unit’s rotation, and invite your caregivers by email.

How is our data kept separate and secure?

Each organization’s data is kept in its own database schema. Access is role-based and denied by default, data is encrypted in transit and at rest, handling is HIPAA-aligned, and every change is recorded in an audit trail.
